How does QR code photo sharing work for bars?

Do my customers need to download an app?

Can guests see other people's uploads?

No. The QR Vault is privacy-first. Guests can upload but never see what anyone else has sent. Only you, the account owner, can view and manage all uploads in your private gallery.

How is this different from a photo booth?

What types of files can guests upload?

Guests can upload photos (JPEG, PNG, GIF, WebP, HEIC) and videos (MP4, MOV, WebM). File size limits depend on your plan — up to 200MB per file on the Premium plan.

How much does The QR Vault cost?

Business is built for multi-venue operators and hospitality groups — it includes up to 10 QR codes, 2 TB storage, white-label upload pages (no "Powered by" branding), hands-on onboarding, custom-designed print templates, priority support, and a quarterly business review. Switch to yearly billing for 2 months free on any plan. All plans include at least one QR code (active while subscribed), custom branding, and a private gallery. Can I have more than one QR code?

Starter, Pro, and Premium plans each include one QR code. The Business plan (£149/month) includes up to 10 QR codes — one per venue — with a shared dashboard and separate galleries for each. If you run a group with more than 10 venues, email us and we'll quote a bespoke enterprise plan.

Can I customise the upload page with my bar's branding?

Yes. You can customise the upload page with your logo, colours, background image, header text, and description. You can also add your website URL, menu link, social media links, and a custom link with your choice of icon.

What are community templates?

Community templates are A4 print backgrounds designed and submitted by other QR Vault users. You can browse them in the template editor, filter by tags, vote for your favourites, and apply one to your QR code in a single click. It's a quick way to get a professional-looking print template without designing one from scratch.

Can I submit my own template design?

Yes. Go to the Community Templates page (accessible from the template editor or your dashboard) and upload a JPG or PNG image in A4 portrait format. Add a title, description, and tags. Once reviewed and approved by our team, your design will be available for all users to use — and you'll be credited as the designer.

Does it work in low light / nightclub environments?

Yes. Modern smartphone cameras can scan QR codes in very low light conditions. We recommend printing your QR code at a reasonable size (at least 5cm) and placing it where there is some ambient light — behind the bar, near the entrance, or on lit signage.

Can I receive messages from guests?

Yes. You can enable guest messaging in your profile settings. When enabled, guests see a message form on your upload page where they can send you a note — great for feedback, song requests, or booking enquiries.

Does the QR code expire?

Your QR code never changes and stays active for as long as you're subscribed. Print it once and use it every night. Even if you change your template design or branding, the same QR code continues to work.

Can I download all my photos at once?

Yes. You can select individual files or use the bulk download feature to download everything as a ZIP file. Perfect for grabbing a whole night's worth of content in one go.

What languages does the upload page support?

The guest-facing upload page supports 6 languages: English, Spanish, French, German, Portuguese, and Chinese. You can choose which languages to enable in your profile settings. The page auto-detects the guest's browser language.

Is The QR Vault GDPR compliant?

Yes. Guests must accept upload terms before submitting content. We collect minimal data (IP address for abuse prevention), provide clear privacy policies, and give you full control to delete any content at any time.

How do I print my QR code?

After creating your QR code, you can download it as a high-resolution image or use one of our print-ready templates (table tents, posters, A-frame signs). Print it on any standard printer or send it to a print shop.
