Create Your Account

Sign up with your email and password, or use Google to log in instantly. You'll land on your dashboard straight away.

Set Up Your Profile

Head to Profile and configure everything guests see on your upload page:

  • Display name — shown at the top of your upload page
  • Social media links — Facebook, Instagram, Twitter/X, YouTube, LinkedIn, TikTok
  • Website URL — link to your venue website
  • Custom link — add a link for your food menu, drinks menu, booking page, review site, Wi-Fi info, or anything else. Choose from 15 predefined button types — each gets its own icon automatically
  • Allow Messages — toggle this on to let guests send you a message from the upload page. Messages appear in your Messages inbox with a notification badge in the nav bar
  • Upload Page Languages — choose from English, Spanish, French, German, Portuguese, and Simplified Chinese so international guests can use your page in their own language
Tip: Fill in at least your Instagram or Facebook — guests are most likely to follow you there. Set up a custom link for your menu or booking page so guests can find what they need. Enable Allow Messages to get feedback, song requests, or shout-outs.

Create Your QR Code

Go to My QR Code and click Create My QR Code. Give it a name (e.g. "The Golden Tap", "Club Neon", "Mario's Kitchen") and pick a template — or design your own with the custom template designer.

  • Your QR code is always-on while subscribed — the URL never changes
  • You can customise the print template at any time
  • Pause and resume uploads whenever you like

Template Designer: Three ways to create your print template:

  • Presets — 10 ready-made styles, click to preview and save
  • Community Templates — browse user-designed A4 backgrounds submitted by other venues. Filter by tags, vote for your favourites, and apply in one click. You can also submit your own design for the community to use
  • Custom Design — build from scratch: set a background colour or upload your own image (2480 × 3508 px recommended), position header, description, and QR code anywhere using sliders, choose fonts and colours, add borders
Tip: The live preview shows exactly how your printed A4 template will look. Try a community template as a quick starting point, or go fully custom for complete control.

Print & Display

Click Print on your QR code page to get a print-ready version. You can also copy the upload link and share it digitally.

Placement tips: Tables, bar tops, welcome desks, and photo booth areas work best. Print at least 5 × 5 cm so phones can scan easily. Add text like "Scan to share your photos!" near the code.

The Guest Experience

When a guest scans your QR code, they see a simple upload page — no app, no account, no login. They tap to select photos or videos from their phone, and the files upload straight to your private gallery.

  • Works on any smartphone with a camera
  • Supports photos and videos
  • Guests cannot see anyone else's uploads
  • Your social links and venue links appear — so they can follow you, view your menu, book a table, or whatever you've set up
  • If you've enabled Allow Messages, guests can send you a message — great for feedback, requests, or shout-outs
  • If you've enabled multiple languages, guests can switch language instantly — the page auto-detects their browser language too

Manage Your Gallery

Open Gallery to see everything guests have uploaded. The gallery is packed with tools to keep things organised:

  • View — Click any image to see it full-size in a lightbox
  • Download — Individual files or select multiple for a ZIP download
  • Print — Print selected photos directly from your browser
  • Folders — Create folders to organise uploads (e.g. "Friday Night", "VIP Event"). Filter by folder or view unsorted files
  • Favourites — Star your best uploads and filter to view favourites only
  • Date filter — Filter by today, yesterday, last 7 days, last 30 days, or a custom date range
  • Sort — Switch between newest-first and oldest-first
  • Upload — Add your own photos with the Upload button
  • Delete — Remove anything you don't want
Tip: Use folders to keep things tidy — e.g. one folder per event or night. Favourite your best shots so you can quickly find them when posting to social media.

Share Your Gallery

You can share your photos publicly in two ways:

  • Public Gallery Link — Select a folder in your gallery and click Enable Public Sharing. This creates a public URL you can share on Facebook, Instagram, or anywhere. Guests can view (but not download) the photos. You can disable public access at any time.
  • Showcase — Submit your best photos to The QR Vault Showcase. Select photos in the gallery, click Showcase, enter your venue name and agree to the terms. Approved photos appear on our public showcase page — great exposure for your venue.
Tip: Share your public gallery link on your Facebook page after a big night — guests love seeing their photos and it drives engagement.
Getting More Uploads
  • Add signage: "Scan to share your photos!"
  • Mention it to guests when they arrive
  • Place the QR code near photo-worthy spots
  • Print multiple copies for different tables
